Move-out checklist

Deposit disputes often come down to what you can prove about the condition you left the place in. Work through the list, take the photos, and keep copies of everything.

Before your last day

Reread the move-out section of your lease: notice requirements, cleaning expectations, carpet clauses Give written notice by the required deadline (keep a copy) Find your move-in inspection checklist and photos, if you have them Ask the landlord for a walkthrough before you move out (some states require one if you ask) Patch small nail holes, replace burned-out bulbs, and change the furnace filter if there is one Schedule utility shutoffs or transfers for after your official move-out date

Cleaning day

Clean appliances inside and out (the oven and fridge are the ones landlords usually check) Wipe down cabinets, counters and baseboards; mop or vacuum every floor Bathrooms: scrub the tub or shower, toilet and mirror, and make sure the drains run freely Remove everything. A charge for hauling away items left behind is a common deduction Take out all the trash and sweep the garage, patio and storage areas

Photos and proof (do not skip)

Photograph or video every room after cleaning: walls, floors, ceilings, and the insides of appliances and cabinets Take close-ups of anything that could be disputed, with something in the frame for scale Turn on photo timestamps, or text the photos to someone so the messages date them Photograph the empty unit on your way out: wide shots, door open, lights on Photograph utility meter readings

Handing back the keys

Return every key, fob, garage remote and mailbox key, and get a written or texted receipt for them Give your forwarding address in writing (a text or email counts; keep a copy). In several states the deposit clock starts when you provide it. Ask, in the same message, when to expect your deposit Save every message you exchanged with the landlord in the last month

Afterward

Look up your state’s return deadline with the free security deposit deadline checker Put the deadline on your calendar Normal wear and tear (faded paint, minor scuffs, worn carpet) is not deductible in any state If the deadline passes, ask for the deposit in writing, then escalate
