The paperwork discipline that separates landlords who profit from landlords who litigate

Small landlords lose money in predictable ways: deposits returned in full because the deductions weren't documented; "guests" who became tenants without ever signing anything; notices thrown out of court for missing a required sentence; deposit-deadline penalties that turn a $300 cleaning dispute into a 3x judgment for the tenant. Every one of those is a paperwork failure, and every one is preventable with the same small system:

  1. Document the condition, together, twice. A signed move-in checklist with timestamped photos, and the same walk at move-out. Deposit disputes are decided by this document — the landlord without one usually loses.
  2. Put every tenancy on a real lease. Rent, due dates, late fees your state allows, maintenance responsibilities, entry rules, occupancy limits, and what happens on default — agreed before keys change hands.

Do I really need this for one rental?

Single-property landlords need it most: one bad tenancy is a much bigger share of your income, and courts hold you to the same standards as a management company. The documents take minutes per tenancy once you have them.
